With the exception of some tradespeople and sole traders whose reputations are very personal, customers generally don’t trust public email addresses like Gmail or Yahoo in a business relationship – a company email address shows you’re serious as a business and are likely to stay around.
We recommend using Microsoft’s Office 365 platform as the basis for business class email and calendar, as it offers a great mix of functionality and affordability. Office 365 lets us configure your domain email address (e.g. @vividlysimple.com) on the platform, giving more control over how your emails behave, including creating as many group and alias email addresses such as hello@vividlysimple.com as you want, and the platform includes configuration settings and filters to help us reduce the amount of spam that gets through to you.
By creating groups of your users (e.g. all the sales team), we can make sure everyone can see the emails they need to, and a shared group calendar can be accessed too. Office 365 Business Email and Calendar capability gives you a clear, consistent view of your email, calendar, and contacts across multiple devices, and it works with Outlook and many other email clients too, so you won’t need to give up your favourite when you move across.
With the right configuration you’ll have unlimited storage to keep all your old emails and attachments. You also get industry-leading anti-malware protection and anti-spam filtering to guard against ever-present email threats, and there are options for adding archiving capabilities for legal discovery and compliance, plus eDiscovery should you require them for your specific business needs. Office 365 provides an excellent solution for Business Email & Calendar … and is also a great solution for Backup, file-sharing, and GDPR compliance.
We manage from start to finish a project to configure a new or reconfigure your existing Microsoft Office 365 environment for your organisation with appropriate Office 365 licenses for each user. We follow a 4-stage process to make sure we get everything and everyone into your new Office 365 environment and working happily:
Stage 1 of that process is focussed on initial fact-finding to create the right target design for you, and includes:
Stage 2 focusses on configuration of Office 365 and the migration of your data, specifically:
Stage 3 involves the personalised set up of end-user devices with mail clients and sharing/back up as appropriate:
Stage 4 provides a period of on-going tweaks and optimisation to make sure your new Office 365 environment is supporting how you would like to work. For a two-month period we will:
If you don’t want the overhead of managing your new environment yourself once your move to Office 365 is complete, we can offer a range of ongoing support options.
